Catalogue each title once, then register every physical copy you hold of it. A school with forty copies of the same textbook knows it has forty — and knows where they are.

Books are issued to learners and returned against their record, so at any moment you know which books are out and who has them.

Overdue titles surface on their own rather than being noticed at the end of the year, when the book is long gone.

Over time you see which books the school is actually losing, and how many, which is usually a larger number than anyone expects.
